1. Who This Policy Covers

This policy describes how UnitStack, operated by KeenTech.tech, handles information from account owners, their Admins and Viewers, applicants, residents, and people who contact us. Property managers decide what resident, applicant, lease, payment, maintenance, and communication information they place in a workspace and are responsible for having authority to do so.

2. Information We Collect

We collect account details; workspace records such as properties, people, applications, leases, payments, documents, messages, inspections, and maintenance; subscription and complimentary-access status; support requests; email-delivery events; and security or operational records such as sign-in, device, IP address, timestamp, error, and audit information. Payment-card details used for a UnitStack subscription are collected by Stripe rather than stored by UnitStack.

3. How We Use Information

We use information to provide and secure UnitStack, enforce workspace roles, generate and preserve requested documents and signing evidence, deliver messages and operational email, administer subscriptions, respond to support and privacy requests, prevent abuse, monitor reliability, create encrypted backups, and comply with applicable law. We do not sell personal information or use workspace data for third-party advertising.

4. Service Providers and Disclosures

We disclose only the information needed to providers that help operate the service, including Supabase for authentication, database, and file storage; Stripe for UnitStack subscription billing; Resend for transactional email; OpenRouter and a selected model provider for requested AI features; map, tile, and address-lookup providers for property mapping; cloud hosting and content-delivery providers; and GitHub Actions for protected build, monitoring, and encrypted-backup operations. We may also disclose information when required by law, to protect people or the service, in a business transfer, or with your direction. Optional integrations receive data only after they are enabled and connected.

5. AI-Assisted Features

When a user asks an AI-assisted feature for help, UnitStack sends the limited workspace context needed for that request to OpenRouter and the selected model provider. UnitStack requests zero-data-retention routing and denies provider data collection where supported. Do not place Social Security numbers, payment-card details, account passwords, or information that is unnecessary for the task into AI prompts or free-text fields. AI output is informational and must be reviewed by a person.

6. Security

We use encrypted transport, access controls, private document storage, server-enforced workspace roles, audit records for sensitive workflows, monitoring, and encrypted backups. No internet service can guarantee absolute security. Account owners are responsible for choosing trustworthy team members, using unique credentials, enabling available multi-factor authentication, and promptly removing access that is no longer needed.

7. Retention, Export, and Deletion

We retain active workspace records for as long as needed to provide the service. We may retain billing, security, signing, communication, backup, dispute, and legal records for the period reasonably required by law, fraud prevention, enforcement, or recovery. Workspace owners can download a count-verified export in Settings. Authenticated users can submit a reviewed deletion request in Account & Security; some records may be retained when deletion would conflict with legal, financial, security, or signing-evidence obligations. Encrypted backup copies expire on the backup schedule rather than being edited individually.

8. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, export, delete, restrict, or object to certain processing. You may unsubscribe from optional email using the link provided, while essential account and transaction messages may continue. Applicants and residents should usually contact the property manager that controls their workspace record; you may also contact us and we will route or respond to the request as appropriate.

9. Cookies and Local Storage

UnitStack uses browser storage and similar technology to maintain authentication, protect sessions, remember preferences, and preserve the explicitly session-local public demo. Blocking required storage may prevent account features from working. The public demo data remains on that browser and is not treated as a real UnitStack workspace.

10. Children and Changes

UnitStack is a business service and is not directed to children. We may update this policy as the service or law changes. Material changes will be communicated through the service or email when appropriate, and the effective date above will be updated.
